The key thing is to move images or folders within Capture One's library tool. If you drag a folder (or an image) from one location to another using the Library tool, it will be physically moved on disc too, but Capture One will know where it is. If you move a folder or an image in Finder, Capture One will not know where it has gone unless you use the Locate function to tell it the new location, so it will show as offline. You can use Locate for individual images, or for folders.

Im trying to organize all files and folder base on the category and date. I already imported all images to several catalog base on the year but I need to organize again for subcategories like portrait, studio, and more.

    But problems are...

    1. Offline images due to moving files or changing names.
    2. Not able to reconnect and locate files base on folders but an individual file.

Any idea how to re-organize all files, folders, and catalog by dealing with disconnected or offline images?

The catalog has the power to make this easy; I think you are going at it in a rather difficult way.

Make use of the fact that an image can be in more than one albums, project and groups.

I would do (have done actually) as follows:

Import all the images into one catalog.

Make Groups "Yearly", "Portrait", "Studio" (and for your other cataegory types)

In Group "Yearly", make Projects "2019", "2018", "2017"
Within Project "2019" make an album "2019 All"
Within Project "2018" make an album "2018 All"
Within Project "2017" make an album "2017 All"

In Group "Portrait", make Projects "Alana", "Michael", "Nancy", etc etc etc
Within Project "Alana" make an album "Alana All"
Within Project "Nancy" make an album "Nancy All"
Within Project "Michael" make an album "Michael All"

Now go the "All Images" collection. Make a search or filter for all 2019 variants. Select them all and drag to album "2019 All"
Now go the "All Images" collection. Make a search or filter for all 2018 variants. Select them all and drag to album "2018 All"
Now go the "All Images" collection. Make a search or filter for all 2017 variants. Slect them all and drag to album "2017 All"

Now find a way to find all "Nancy" variants - if you have keywords or Metadata, make a search in "All Images" for the keyword or metadata. If they are all in one folder, use that the folder. Select them all, drag the to the album "Nancy All"
    Similar for "Alana", "Michael", etc.

Doing this will not disturb the arrangement in the albums "2019 All","2018 All" and "2017 All", nor in "All Images", nor in the folders.

Now do a similar thing for your studios "Studio 1", "Studio 2", Studio 3", etc etc etc
Make Projects, Make albums, find the variants.
Doing this will not disturb the other groups.

Now if you have an Image "Nancy 138" taken in 2018 in studio 2, it will be in all of these places. If you edit a variant, add keywords or Metadata, the result shows in all these places. Or you may decide that you want one variant editted for the portrait collection, and a different one for the "studio" collection - make two variants, and identify by color tag or keyword or Metedata which one is which.

Perhaps next year you add a "Competitions" group, add a project for each competion. The you can copy "Nancy 138" there too.

Forget about which folder the image file is in - doesn't matter. If you need to know, ask Capture One "show in finder"
