Managing Users and Multi User Access Management (Studio for Teams and Studio for Enterprise)

There are two multi-user subscription plans: Studio for Teams and Studio for Enterprise. Both allow organizations to manage user access and activations, with Studio for Enterprise offering greater control and administrative capabilities.

Managing Users in Studio for Teams vs. Multi User Access Management in Studio for Enterprise

Capture One Studio for Teams provides a straightforward multi-user workflow:

  1. The license admin shares the license key with users.
  2. Users manually activate the software on their devices.
  3. The license admin oversees activations via the Capture One website.

Capture One Studio for Enterprise offers a seamless, hands-free Multi User Access Management system based on a whitelist approach:

  1. The license admin whitelists users.
  2. Whitelisted users launch Capture One in company mode and log in with their whitelisted profile—no manual activation required.
  3. With Jamf Pro, admins can automate the deployment of company mode on macOS systems, see Deploying company.config Using Jamf Pro.

Number of Admins

  • Studio for Teams: One admin.
  • Studio for Enterprise: Multiple admins.

Activation History Menu

  • Studio for Teams:
    • Deactivate a specific device or reset all activations.
    • View activation list with Date, Device, ID number, and Activation history fields.
  • Studio for Enterprise: 
    • Deactivate a specific device or reset all activations.
    • View and sort activations by Date, Device name, Activation email, OS, Software version, Last used, and Status fields.

Manage Users Portal

  • Studio for Teams: The admin can view the list of users who have manually activated the license key and revoke access.
  • Studio for Enterprise: Admins manage access by whitelisting users or removing them to revoke access.

User Controls

  • Studio for Teams:
    • All users see their plan on the Plan and Services page after activation.
    • All users can view activation history and deactivate in-app.
  • Studio for Enterprise:
    • Whitelisted users cannot view license details or deactivate seats, only admins can.

Desktop Activation

  • Studio for Teams: Users must enter a license key on each device to activate.
  • Studio for Enterprise: Users can activate either by entering a license key or through whitelisting.

Access to Capture One Live and Capture One mobile (iPad/iPhone)

  • Studio for Teams: Users gain access after desktop activation.
  • Studio for Enterprise: Users gain access after desktop activation or whitelisting.

Guidelines for Administrators

Acquiring a License

The first step is to obtain a Capture One Studio for Enterprise license key.

Our sales team assigns an administrator when generating a Capture One Studio for Enterprise license. Multiple administrators can also be added. Feel free to reach out to our support team if you have questions.
NOTE: if your account has been enabled as admin, you will still need to whitelist it.

Installing Capture One in Company Mode

Install Capture One 16.3.2 or later on the company machines and create the 'company.config' file to run the app in Company Mode. No activation is necessary.

You can use Jamf Pro to automate the deployment of the company.config file on macOS systems. For details, see Deploying company.config Using Jamf Pro.

For macOS:

  • Find the Directory
    • Go to Finder and go to a folder by entering its pathname: Go directly to a specific folder on Mac
      • For system-wide settings: /Library/Application Support/
      • For user-specific settings: ~/Library/Application Support/
    • Open the Capture One directory; if it doesn't exist, create it:
      • For system-wide settings: /Library/Application Support/Capture One
      • For user-specific settings: ~/Library/Application Support/Capture One
  • Create the 'company.config' File
    • Download a sample ‘company.config’ file at the end of this article, or create one in the /Application Support/Capture One directory:
      • Show filename extensions: Show or hide filename extensions on Mac
      • Open TextEdit and save an empty file named 'company.config' in the chosen directory
      • Confirm the 'company.config' file's presence in the selected Capture One directory
      • Ensure that the file has the .config extension. You might need to manually remove the .rtf/.txt extension from the file name.
  • Run Capture One
    • Open Capture One and make sure you're using version 16.3.2 or later, it should be running in company mode using the 'company.config' file; although Capture One will look the same, the welcome screens no longer require you to enter a license code, instead you'll find just one button to activate the program
  • If Capture One requires a license, Company Mode is not active. Please try following the steps again

For Windows:

  • Find the Directory:
    • Default path: C:\Program Files\Capture One\Capture One
  • Run Capture One
    • Open Capture One and make sure you're using version 16.3.2 or later, it should be running in company mode using the 'company.config' file; although Capture One will look the same, the welcome screens no longer require you to enter a license code, instead you'll find just one button to activate the program
  • If Capture One requires a license, Company Mode is not active. Please try following the steps again

Whitelisting Capture One Accounts

Include Capture One accounts in the list of users who can access the license through the Manage Users web interface by entering their corresponding email addresses.

Once added to the whitelist, existing users automatically gain access. New users receive an email invitation with a link to create a Capture One account. Creating an account through the invitation grants access.

If new users don’t use the invitation link, they can still gain access by creating a new account with the email added to the whitelist.

Users who receive multiple invitations and sign up without a link won’t be whitelisted. They must use an invitation link to gain access and know which whitelist they’re registered under.

Each user can only be whitelisted for a single license key. If the specified Capture One account is already whitelisted for another license, the administrator will receive an email notification.

On your Capture One account page, click Manage under Plans & Services Management:

Find your license and click Manage Users:

Here you can whitelist Capture One accounts. Input multiple emails, separated by commas or spaces, enabling the whitelisting of up to 1000 emails at a time; the whitelisted accounts are visible below the input field, where you have the option to delete a specific email by hitting the X button or Delete all:

Managing Activations

Deactivate Capture One on individual machines hosting Capture One installations or reset all activation through the web interface.

Please note that license activations are counted per machines used by whitelisted users for all corporate and multi-user accounts.

On your Capture One account page, click Manage under Plans & Services Management:

Here you have the option to Deactivate specific activations or Reset all activations:

Creating a Capture One Account

Follow this link to create a Capture One account.

Getting Whitelisted

To gain access to Capture One via whitelisting, have your administrator add your email to their whitelist.

Existing users will automatically gain access once whitelisted. New users will receive an email invitation with a link to create a Capture One account. You’ll gain access after successfully creating an account through the email invitation.

Even without using the invitation link, you can still be whitelisted if your administrator adds your email and you create a new account with the same email.

If you receive multiple invitations and sign up without a link, you won’t be whitelisted. You must use an invitation link to gain access and know which whitelist you’re registered under.

Using Capture One

On the company computer, start Capture One (make sure you're using version 16.3.2 or later) and log in using your whitelisted Capture One account.

Transitioning from Capture One Enterprise to Studio for Enterprise

Transferring Existing Enterprise Whitelist to Studio for Enterprise

Our Sales Team assigns an administrator when generating a Studio for Enterprise license. The administrator manages license users via the Plans & Services management page.

The administrator should have a Capture One account. It can be the same as the old Enterprise administrator’s account or a new Capture One account. Multiple administrators can also be added to a Studio for Enterprise license.

To transfer existing whitelisted users from the old license to the new one, the administrator must complete a manual process. The old Enterprise key should remain active until the transfer is completed.

  1. On your Capture One account page, go to the Plans & Services management page and click Manage users for the old Enterprise license key.
  2. Click the download button (downward-facing arrow) to download a CSV file with all the whitelisted users.
  3. Ensure the file is downloaded and contains the user data.
  4. Click the Delete all button on the old Enterprise license. This step is required because a user can be whitelisted only on one license.
  5. Return to the Plans & Services management page and click Manage users for the new Studio for Enterprise license key. If the Studio for Enterprise administrator is not the same Capture One account as the old Enterprise administrator, sign out and sign in with the Studio for Enterprise administrator’s Capture One account.
  6. Open the downloaded CSV file, select and copy all users, and paste them into the Add email addresses field. Click Add users to whitelisted them on the new Studio for Enterprise license.
  7. Ensure the total number of email accounts added does not exceed the user limit on the new Studio for Enterprise license.

After the administrator transfers all whitelisted users from the old Enterprise license to the new Studio for Enterprise license, the whitelisted users are ready to start using Capture One.

  1. Launch the Capture One app to get the 'Your Capture One subscription appears to be invalid' message. Click Quit to close the application.
  2. On the next launch, you will be asked to sign in again using your whitelisted Capture One credentials and click Activate now.

The whitelisted user now has access to Capture One Studio for Enterprise desktop features. Additionally, whitelisted users have access to Capture One Live (desktop  and mobile) and Capture One mobile (for iPhone and for iPad). To access mobile, download the mobile Capture One app from the App Store and sign in with your whitelisted account. This will automatically grant access to Capture One mobile.

FAQ

  • You need an internet connection to log in initially but can work in Capture One offline for the next 30 days.
  • More than one admin per Studio for Enterprise license is allowed, and a user can be an admin in multiple licenses.
  • During 'major' updates (e.g. 16.2 to 16.3), you need to go through the activation again; minor updates don't require this.
  • You can use any email for your Capture One account, it is not limited to company emails.
  • If the license administrator wants to access Capture One, they must add their email to the whitelist. Then, when they want to use Capture One, they’ll need to log in with their email, like other users.
  • If you have purchased Capture One Live on the whitelisted Capture One Pro or Enterprise account, you will have access to Capture One Live when using Capture One in Company Mode.
  • Capture One Studio for Enterprise whitelist provides access to Capture One Studio, Capture One mobile, and Capture One Live.
